A.A.O’s  Student Advising Policy

I. Advising:

Every student in the program is assigned to faculty advisor. The academic advisor must meet with every student at least once every semester, during the pre-registration period towards the middle of the semester. The students can fill in the pre-registration form online. However, the registration will be blocked until the student meets the advisor will remove the block. The academic advisor should help the student in selecting his courses. He should also advise the student on other academic issues that help him in his program. He should also advise him on career development issues. A student file for every student is kept in the department and contains the most recent transcript, the advising monitoring forms and the current registration form. In addition, the Registrar’s Office supplies every advisor with an online transcript and the list of currently registered course for each of his advisees. The department has a Chief Advisor (CA), whose duty is to assist the academic advisors and make sure that the advising process is running effectively. The departmental CA is a member of the college advisement committee coordinated by the Assessment and Accreditation Office (AAO).

II. Monitoring:

The advisors will regularly review the progress and performance of each advisee. Those students who perform unsatisfactorily e.g. (poor grades or low GPA’s or academic probation) will be contacted by the advisers for additional advisement and, if necessary, to provide assistance or arrange for tutoring by senior students through the program students course. Students are evaluated for satisfactory progression by the registrar’s office at the end of each semester. After completing two semesters in the University, students with GPA’s of less than 2.0 are placed on probation. If the probation status continues for a second time then the student is dismissed from the program. Pre -requisite requirements are monitored automatically by the registrar’s office computer system. The registration software automatically rejects the registration of any course unless the pre- and co-requites are satisfied. Students in their final year are evaluated for satisfying graduation requirement by each department. The registrar’s office issues forms called “Expected to Graduate” for those students whose total credit hours completed so far indicate that they are expected to graduate within that semester. The department’s chair and the academic advisor of each student check if the student has fulfilled all University, College and program requirements. The graduation forms are filled by the academic advisor and checked and approved by each of the Department Chair and the College Dean.
